Deanery administrators typically schedule ARCPs for a trainees on FOM PortfolioBuilder, but Heads of School can also do this.
When an ARCP is scheduled for a trainee, read-only access to the trainee's account is automatically granted to all ARCP reviewers registered to the trainee's school or organisation. This access is granted two weeks before the ARCP review date and is revoked the day after the review.
Whilst ARCP reviewers registered to a particular school will have access to all trainees' accounts under review, it is possible for deanery administrators to assign an ARCP reviewer to a specific date. By doing this, an ARCP Outcome Form can be pre-filled with the details of ARCP reviewers involved in a particular review and reviewers' dashboards can show which dates they are expected to be conducting reviews.
Revisions to the list of reviewers can be made on the ARCP Outcome Form later if need be.
Step 1: Log in to your account on FOM PortfolioBuilder.
Step 2: Go to the page for your region or school (i.e. NHS Education for Scotland, NSOH, Defence Deanery or NIMDTA)
This will take you, by default, to the 'view' page. The view page shows information about the school, a status summary of all the ARCPs in the school and any ARCPs in a calendar view.
Step 3: Scroll to the ARCP Calendar and click the ARCP date to which you would like to assign ARCP reviewers.
- A date highlighted green has both assigned reviewers and trainees under review.
- A date highlighted yellow has either assigned reviewers or trainees under review, but not both.
Step 4: Check the box next to the names of the reviewers you would like to assign to an ARCP panel on that date.
If a reviewer's name is not available for selection as a panel member, this is because this person has not been registered to that school as an ARCP reviewer. ARCP Administrators can add ARCP reviewers to a school or organisation.
Step 5: Click on 'Add Selected'.
The reviewers for the ARCP on that date will now show in the Panel Members box.
The benefits to assigning reviewers to panels are that ARCP Outcome Forms will be automatically pre-filled with the details of reviewers involved in a particular review & reviewers' dashboards will show which dates they are expected to be conducting reviews.
A trainee's ARCP Outcome Form can later be edited to reflect any changes to the ARCP reviewers on their panel if need be.
Once ARCP reviewers have been assigned to a panel, Deanery Administrators may wish to schedule an ARCP for a trainee.
